RASP Item Workflow

Each RASP item should achieve a certain quality standard. To do this, it has been specified that each article created by an author is reviewed and shared by an editor. In addition, each article goes through a series of stages until it is published. As a result, many different items may be edited by different people at the same time. In order to keep an overview here on the one hand and to achieve the set quality standard on the other hand, this procedure has been defined.

ABIOLA Cloud

Each article traverses a series of folders in the Abiola Cloud, whose access has been set in the various roles.

The ABIOLA Cloud is powered by a Raspberry 4B.

Different roles

There were several roles in the article’s release process: There were different roles in the article’s release process:

1. Author

Any number of authors can work on different articles at the same time. The articles can be written in either English or German. To create the article, an author uses the appropriate RASP Word template. Each author gets their own folder in the Abiola Cloud for new articles via individual link.

2nd Editor

The task of an editor is to check new articles in terms of content. Several editors can be used, which can then check articles in parallel. The editor can also communicate directly with the author.

An editor can also write articles himself. However, in accordance with the four-eye principle, he will not control his own articles.

3. Designer

The job of a designer is to create articles in WordPress according to the Word document. The Word document must contain all the information that you want to publish later for this article in the Abiola RASP Data Base. There should be no unnecessary search tasks for the designer.

4. Translator

The translator provides translation work in WordPress using WPML. It can translate from both German in English and English to German. The database will not be translated into the French language until it is almost finished. For this purpose, a translator is probably used, which is also powerful in the French language.

5. Admin

An admin can take over any task and always has access to the entire workflow of all articles.

RASP Workflow

In the example according to the folder structure below, 5 different authors and 3 editors were used.

All users (from author to admin) do the work for new articles part-time and don’t always have time for them. For this reason, the concept is designed in such a way that everyone can take on their task if it suits him (them).

Describes the entire process of an article from creation to publication.

1. The item is handed over

When an author has created a new article, he or she passes it as follows:

a) He places the finished article in his personal folder in the ABIOLA Cloud (new articles)
b) Then send an e-mail to the address editor@abiola.eu with the indication that the item has been deposited.

In the email forwarding editor@abiola.eu, all editors and admins are usually included.

2. An editor reviews the article

An editor moves the Word article to its personal editor folder (e.B. editor 2). He then opens the document and enters his personal identification number. He then examines the content of the article.

The code of the editor in the Word document will later turn out to be a kind of stamp. It is also later possible to understand which editor has released the article.

If the editor still has questions or suggestions about the article, he can clarify this directly with the author himself. The article remains in the editor’s folder (e.B. editor 2) until the rest of the clarification.

Once the article has been released by him, the editor does the following:

a) He moves the article to the “designer” folder
b) Then he sends an e-mail to the address designer@abiola.eu with the indication that the item has been deposited.

3. The designer writes the article

The designer puts his WordPress in the language of the article and creates the corresponding WordPress RASP article. The designer must also make sure that the correct category for the item is set in WordPress.

He then does the following:

a) He moves the article to the “translator” folder
b) Then he sends an e-mail to the address translator@abiola.eu with the indication that the item has been deposited.

It is also possible for the same person to assume the role of Designer and Translator. In this case, he does not need to perform the above-mentioned displacement and information.

4. The Translator translates and publishes

The translator translates the article into the respective other language (English or German using WPML).

He then completes the process as follows:

(a) First, it shall publish the article in both languages.
b) Then he checks both articles in German and English in the front end (Internet). Then he moves the article to the archive folder of the respective author

In this article we do not use the German names but the English term (e.B. Translator). Thus, the names also match the respective e-mail forwardings (e.B. translator@abiola.eu).
